HSE & Facilities Management Support Administrator Requisition ID: (22003497)Primary Location: United Kingdom-England-LeicesterJob Function: Facilities ManagementJob Posting Date: Mar 3, 2022, 2:23:17 PM Description To support the UK&I Health, Safety and Environment team and Facilities management team with day-to-day operational tasks, to own and manage the access control system. Lead administration functions for HSE and FM UK&I, be a proactive member of both teams, supporting all site stakeholders. Lead with regular communications to the sites on activities, initiatives and procedural updates. Responsibilities Support the Commercial and Procurement department; Monitor Velocity reporting system and escalate any flags and take action where appropriate; Coordinate and take ownership for all Facilities Management centralised documents and that they are current and up to date on both the central drive and SharePoint; Submit timely reports and prepare presentations and/or proposal as assigned; To ensure accurate and timely organisation of all filing and archiving of paperwork and documents including any computer-based information to be organized and retained in line with the Corporate Record Retention guidelines; Monitoring and reporting of performance of TFM and in-house PPM performance; Coordinate and release regular proactive and reactive communications to the UKI sites in relation to Health, Safety and Environment and/or Facilities Management activities that impact site users; Create and update records and databases as required; Act as first point of contact for Health, Safety and Environment and/or Facilities management queries; Ensure HSE filing systems are maintained and up to date and in accordance with regulations and legislative requirements; Monitor and action items in the centralised email inboxes as appropriate; Responsible for monitoring and ordering of HSE/ Facilities signage, consumables, etc.; Act as liaison at HSE committee meetings and environmental committee meetings; Provide ad hoc administrative support to the UK&I Facilities and HSE team as requested; Maintain the required level of personal skills and knowledge required to excel in all aspects; Ensure full compliance with legal and Company requirements with regards to Trade Compliance and Ethical Business and follow necessary procedures; Other responsibilities or tasks that are within your skills and abilities, whenever reasonably instructed. Requirements Proven experience of office administration; Proven track record and experience of operating Access systems within Facilities Management; Experience and user knowledge of SharePoint and Microsoft Teams; Ability to work well with colleagues, peers and senior stakeholders in order to be successful in role; IOSH Managing Safely accreditation is highly desirable; Experience with business systems (oracle/ i-procurement) advantageous; Experience of developing successful cross functional relationships internally, within a matrix organisation advantageous; Commercial and financial experience desirable; Experience of working with and towards individual and team KPI’s and SLA’s; Experience in managing outsourced and self-delivered facilities services; English fluency to business standard essential; Computer literacy essential with proficiency in Microsoft Office applications (SharePoint, Excel, Word and PowerPoint); Demonstrates Emerson values.
