The Role: Driving HR Excellence

As an HR Operations Coordinator, you will be instrumental in delivering HR excellence within the HR Shared Services team. This role is designed for someone who thrives on creating "moments that matter" by proactively collaborating with a wide range of stakeholders. You will be at the forefront of ensuring a "right first time, employee first" approach to HR processes.

Key Responsibilities and Deliverables

  • Employee Lifecycle Management: Administer, simplify, and continuously improve end-to-end employee lifecycle processes (joiners, movers, leavers) to ensure a positive employee experience during any change in their circumstances.
  • Case Management: Effectively manage a shared workload of incoming HR queries via an Outlook Inbox, tracking progress and proactively managing stakeholder expectations.
  • First Point of Contact: Serve as the initial point of contact for HR and payroll queries, interacting with employees, line managers, and HR colleagues to provide accurate and timely advice with a strong emphasis on customer service.
  • Benefits and Payroll Administration: Collaborate with outsourced providers to ensure timely and accurate delivery of monthly, cyclical, and year-end payroll and employee benefits services, meeting agreed Key Performance Indicators (KPIs).
  • HR System Maintenance: Maintain key HR systems, including Workday and the externally hosted Benefits platform, ensuring data accuracy and integrity.
  • Data Support: Assist with ad-hoc data requests and partner with the HR Information Systems (HRIS) team for more complex data needs.
  • Invoicing and Procurement: Support the invoicing process (via SAP), including the completion of purchase requisitions and orders, and the creation of new vendors.
  • Project Support: Contribute to project work as required to achieve broader team goals and priorities.

  • Experience working in a HR Shared Service or Operations team, providing administrative support.
  • Proficiency in lifecycle administration and key HR processes such as Joiner, Mover, and Leaver processes.
  • High level of proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Word, and Outlook.
  • Experience with Workday HR systems is highly desirable.
  • Understanding of general benefits administration.
  • Experience in collating and working with data, with the ability to support basic data analysis.
  • Familiarity with AI tools for process improvement is a plus.
  • Experience providing first-line policy advice to employees and line managers.
  • Self-motivation, resilience, and an ability to embrace change.
  • Excellent teamwork, relationship-building, and communication skills.
  • Strong planning, organizational skills, with a keen eye for detail, accuracy, and the ability to meet deadlines.
