Site CAFM Supervisor Dumfries & Galloway Royal Infirmary, Dumfries, DG2 8PS 6-month fixed term (37.5 hours per week) Salary - £35,000 - £40,000 depending on experience plus basic Serco benefits.

Advise and support the Contract Manager, the Head of Technical Services, the Performance Manager and the wider team in implementing a fully operational, managed and customer focused Computer Aided Facilities Management (CAFM) system currently on Agility but in the process of changing its platform to MRI.

Collaborate with our Head of CAFM & Compliance and the Serco Digital, Data and Technology support to ensure our applications are timeously and properly deployed as well as effectively managed.

Manage the business processes that lean heavily on the functionality of the applications; collaborate with Performance Manager to ensure our applications are used effectively and supported by the right internal processes.

Provide first-line support to current and new staff, service users and external contractors, ensuring best practice is adopted.

Main Accountabilities:

• Be the technical lead and primary contact for all CAFM-related applications. • Work with partners across DGRI and Serco departments to ensure the effective deployment, maintenance, stability and development of our applications. • Manage processes and procedures linked to our CAFM applications and mobile working environment; implement solutions to ensure our work is managed effectively and efficiently, users are clear on their responsibilities and that we can benchmark our activities to identify improvements. • Monitor the use of our applications, providing advice and assistance to internal and external users to ensure best practice is being adopted. • Ensure the Preventative Planned Maintenance system is up to date and task Instruction are aligned to SFG20 and scheduled and implemented to meet the contract requirements. • Actively encourage innovation and help remove any blockers, be it technical, training, equipment, processes or procedure. • Work alongside the Technical Services Manager and other key stakeholders to develop a comprehensive asset management strategy for the site, ensuring we meet compliance targets, considering business risk and whole life value for money. • Manage the effective integration of our applications and the data held making sure the correct data governance procedures and processes are in place. • Utilise the reports and dashboards to enable the contract to monitor and track performance, compliance and drive through improvements. • Liaise closely with colleagues across the site to develop the type, quantity and quality of management information produced, to assist in the day-to-day operation of the hard services solution. • Manage the support contracts we have with the application providers, maintaining regular contact to ensure a satisfactory level of support and actively contributing to any user groups and forums linked to our applications. • Deliver training sessions and develop training material for new and existing application users to ensure best practice is adopted. • Lead a CAFM System user group, working collaboratively with colleagues to identify change requirements, contributing actively to project groups. Review updates and new releases for our applications and make recommendations to the site Senior Management Team as appropriate. • Devise appropriate systems and checks to ensure all supplier, staff and contractor lists are kept up to date across our CAFM applications. • Carry out all duties having due regard for the health and safety of yourself and others, in accordance with the Serco’s Health & Safety Policy.

What you will need to do the role:

• Educated to degree level in a subject such as Information Management or Computing, or equivalent working experience. • Strong evidence of functional system administration • Strong evidence of delivering IT support to or in a technical environment • Implementing new systems and processes, be they written or software delivered. • Experience of delivering small and medium-sized digital projects. • Experience of providing instruction and training to system users. • Ability to work with large volumes of data and apply system and data housekeeping techniques. • Varied experience of working with and managing a CAFM or CMMS system. • Experience in the Construction / Facilities Management sector. • Experience in the use and application of SFG 20 • Broad knowledge of servers, software licences and mobile technologies • Significant experience using Microsoft 365 products. • Excellent written and verbal skills to create understanding and buy in from customers and staff all levels. • Ability to work within and contribute to teams of other professionals. • Professional and personable approach to people. • Develop and deliver training material in-person and in other formats suitable to the target audience.
