B&CS Executive Support Assistant

Join AstraZeneca's Board & Corporate Support team (B&CS) and become part of a respected group that operates in the UK and Canada. We collaborate closely with the Legal function and colleagues worldwide, supporting AstraZeneca PLCs Board, Board Committees, and Senior Executive Team. Our team manages stock exchange listings, corporate disclosures, financings, annual reports, and corporate transactions. We value flexibility, learning, and embracing new challenges. We foster collaboration within the team and across the business, taking pride in our high standards and ability to deliver under pressure.

Accountabilities:

As a B&CS Executive Support Assistant, you will report to the Company Secretary and work closely with Deputy Company Secretaries and the Executive Assistant to the Company Secretary. Your responsibilities will include:

- Providing full support for Board Committees, including agenda and attendee tracking, meeting arrangements, document preparation, and logistics.

- Partnering with the EA to the Company Secretary to support Board and Senior Executive Team meetings.

- Supporting the Disclosure Committee with meeting organization and attendee tracking.

- Managing logistics for shareholder general meetings.

- Assisting the Deputy Company Secretaries with diary management, correspondence, travel arrangements, and expenses.

- Collaborating with the wider team for documentation execution.

- Deputizing for the EA to the Company Secretary when needed.

Essential Skills/Experience:

- Significant experience in administrative support for senior leaders and effective stakeholder management.

- Excellent judgment and initiative, knowing when to act independently or seek guidance.

- Ability to manage multiple conflicting demands and expectations.

- Resilient, responsive, proactive, and urgent in actions.

- Utmost discretion.

- Adaptable, flexible, and a team player.

- General knowledge of company policies and compliance importance.

- Excellent written and verbal communication skills with attention to detail.

- Proficiency in IT applications like MS Outlook, MS Office, Adobe PDF, Concur, PowerPoint, Coupa, Zoom, and web-based systems.

- Willingness to use AI tools like Microsoft Copilot for writing and editing tasks.

Desirable Skills/Experience:

- Experience in a complex global organization.

- Working in a corporate governance environment.

- Handling highly confidential information.

- Familiarity with board portal software like Nasdaq Boardvantage.
