As Executive Assistant to the Chief Medical Officer, youâll be a trusted partner at the heart of our clinical leadership â keeping things moving, safeguarding time and information, and helping us make health happen every day. This role offers unique exposure to our executive leadership team (the Chief Executive Committee â CEC), the offices of our Chairman and CEO, and global clinical stakeholders. Youâll be an ambassador for the CMO function, support highly confidential projects, and coâcreate our corporate calendar with fellow CEC EAs â all while helping the CMO focus on what matters most: outcomes for our customers and our people. Key Responsibilities Provide a complete and confidential support service to the Chief Medical Officer; Ensure all correspondence is dealt with swiftly and to required deadlines; Screen incoming calls, gauge importance and, whenever appropriate, deal with the enquiries with tact and diplomacy; Complex diary management and associated logistics; Assist in the preparation of presentation and report material, proofread and format documents and circulate in advance of meetings to the Board and/or CEC; Responsible for agenda preparation and notes/action taking at the specific functional meetings and distributing these in a timely manner; Make any necessary travel, hotel and visa arrangements and finalise itineraries for offsite visits in the UK or abroad; Arrange various internal meetings sometimes across multiple time zones using telephone and video conferencing (including Teams), to ensure the CMO is kept fully up-to-date on all developments within their function and the company; Arrange external meetings, whilst also sourcing venues, contract negotiation and arranging client entertainment; Ensure the efficient running of the CMO office, including reviewing all incoming emails and dealing with these as appropriate; Arrange payment of invoices through PeopleSoft in accordance with established procedures and work with relevant budget managers to track CMO cost centre expenditure as required; Act as an ambassador for the CMO function, globally and occasionally represent the CMO at relevant meetings; Establish and maintain excellent working relationships with the offices of the Chairman and CEO, with other CEC EAs, and Group Clinical PAs Act as mentor to the function Personal and Team Assistants; Be involved in highly confidential projects as available and appropriate; Manage / assist team with production of internal team events (both in person and virtual) â ranging from 10 â 150 delegates. What Weâre Looking For Maturity and proficiency with experience of working at Board / Executive Level; Self-motivated and able to work well under their own direction; Excellent office, organisational and planning skills, ensuring they are proactively looking ahead and anticipating future needs Strong problem-solving skills with a solution focused mindset Strong judgement and advisory skills, able to make decisions on behalf of the CEC Member where appropriate Excellent business acumen, with a strong understanding of their CEC Member strategic priorities and what the business does; Be a digital champion with an advanced level of competence in the Microsoft Office suite: Word, PowerPoint, Excel, Outlook; Experience of organising events, internally and externally, from beginning to end; Excellent interpersonal skills; ability to work closely with colleagues, develop open and honest working relationships with all colleagues; Excellent written and verbal communication skills; Positive can-do attitude and effective prioritisation of workload; Ability to multitask efficiently and work under pressure whilst keeping to tight deadlines; Confidence to have difficult conversations and challenge decisions when needed Humility, tact and diplomacy; Tenacity and resilience.
