Role Overview As a Full-Time Office Administrator, you will play a key role in ensuring smooth daily operations, supporting internal teams, and contributing to a productive work environment. In this role, you will oversee keeping an organised and efficient office space, coordinating with vendors, managing compliance processes, and supporting key administrative functions. You will also take ownership of post management and violation processing while helping with fuel card management, liability transfers, and outbound correspondence. Your diligence, critical thinking skills, and ability to work both independently and collaboratively will be key to your success. Key Responsibilities Office Management & Administration: Ensure the office is well-maintained, organised, and fully equipped for daily operations. Act as the main point of contact for building management and maintenance requests. Manage relationships with vendors, service providers, and the landlord. Assist with new hire onboarding to create a welcoming and seamless experience. Help coordinate company meetings, events, and employee engagement activities. Oversee office equipment, technology systems, and supplies to maintain efficiency. Ensure compliance with health, safety, and environmental regulations. Conduct regular safety inspections and drills. Post Management & Violation Processing: Handle incoming and outgoing mail, ensuring timely distribution to relevant departments (Finance, Insurance, Risk, etc.). Oversee the violation processing system, including: Scanning documents to the payment processing team. Extracting and processing speeding fines and related documentation. Managing outbound PCN post, including appeals and liability transfers. Keeping tracking documents up to date and ensuring compliance with internal procedures. Assist Operations team in managing fuel cards and promise-to-pay forms. Identify opportunities to improve office processes and enhance efficiency.
