Job Description: Job Title: Personal Assistant Location: Angel Court, London – Willow House, Staines Flexible / Hybrid working options Permanent Fulltime – 37.5 hrs per week Salary: £39,500.00 DOE + fantastic benefits Role Overview In this role you will provide PA support to · General Manager, Head of Data and Digital · Director of Healthcare Management You will also provide administrative support to the wider HDD leadership teams, enabling them to operate at the maximum levels of performance. You will give PA services including any diary management, travel arrangements, creating agendas, and preparing relevant material for internal and external meetings. You’ll work closely with the other PA in the team and across UK Insurance you will cover each other from time to time for example during periods of annual leave. What you’ll do: This role will include organising internal and external meetings, team building days, and other events as needed, including catering. There are regular meetings and calls to co-ordinate with colleagues across multiple time zones. Your leaders will need to travel to other Bupa locations nationally and occasionally internationally and you will need to support their travel and logistics, including arranging visas, and collaborating with the other assistants around the Bupa world. You’ll be required to assist with any general administration and be flexible to help the rest of the team with logistical and admin support on events, campaigns and projects. · Provide a complete and confidential support service to the GM for Healthcare, Data and Digital · Proactive diary management: Arrange internal/external meetings across various time zones · Collating and submitting monthly expenses · Raising PO in the cost centre and maintaining and managing the PO tracker · Checking PO for accurate records of expenditure, ensuring receipts are proceed in a timely manner and proactively engaging with team members to avoid delays · Arrange travel for your director with our online booking tool · Helping with arranging visitors to visit to the office for external meetings What you’ll bring: · Excellent administration and organisational skills · Previous experience supporting at Director level · Proficient user of Microsoft Teams and full Microsoft suite including Word, Excel and PowerPoint · Understanding and experience using Microsoft Co-pilot · Good communication skills including good written English and proof reading · Able to juggle a busy diary that can have last minute changes in a fast-paced team · Able to prioritise workload effectively · Able to work proactively, take initiative and remain calm under pressure · Confident to oversee budgets and PO · Excellent attention to detail · Proactive at managing issues and finding solutions · Have a positive can-do attitude and enjoy being part of a team · Act as an ambassador for the Group Brand & External Communications function · Able to build strong relationships as your work will involve liaising with a wide network of people at all levels and in various locations throughout Bupa, including senior stakeholders Benefits Our benefits are designed to make health happen for our people.
