The role We currently have a new and exciting career opportunity for a Personal Assistant with proven relevant experience in senior executive support. The role will be varied, therefore you will need to be flexible, adaptable and reliable. You'll support key activities as well as providing high quality diary management and complex administrative support. The successful candidate will work closely with their reporting lines, and will need to develop good relationships with internal and external stakeholders at all levels. Youâll help us make health happen by Provide full PA support to the Chief Commercial Officer and the Associate Director of Outpatients and Diagnostics High volume and complex diary management across two senior leaders with busy diaries and multiple competing stakeholders, working closely with other PAs to book and facilitate meetings early and into the evening. Be responsible for booking, minuting, and promptly sharing agenda items and actions from meetings. Respond promptly and in an agile way to deal with requests for last minute changes to meetings, ensuring that the Directors are briefed and that all attendees are aware of changing plans. Manage 3-5 executive team meetings each month â booking rooms, managing invites, organising and sharing agendas, completing PPT templates, taking minutes, sharing and following up on actions To lead the delivery of key people engagement initiatives within teams, including team social events, inside and outside of working hours. Manage the delivery of any soft office-improvement related requests including replacement of kitchen facilities. To be responsible for all travel arrangements for nominated Executive Officers as required. Manage the expense process for both Executive Officers in line with the company policy. Providing high end customer experience during meetings with consultants, consultant teams and high level external stakeholders Taking initiative to help find solutions to problems where possible and taking action Organise and manage a range of regular consultant and stakeholder dinners, including booking venues and managing guest lists Supervision of all purchase order activities within the department using PeopleSoft E-purchasing and expense for your managers You may occasionally be assigned additional responsibilities not listed Key Skills / Qualifications needed for this role Experience at a senior secretarial and PA level with complex diary management Excellent attention to detail Experience managing multiple diaries A good level of competence in the Microsoft Office suite, particularly Word, Excel, PowerPoint, Outlook, Explorer. Excellent office and organisation skills. Good working experience of Sharepoint. Great interpersonal skills; ability to develop open and honest working relationships with all colleagues.
