CONTRACT: Limited TermCITY & COUNTRY: London, Chiswick

Were looking for an experienced and highly organized Executive Assistant to join our Western Europe team, based in our modern London Chiswick offices.

This role is perfect for someone who thrives in a fast-paced, dynamic environment — balancing multiple priorities, anticipating needs, and ensuring seamless support to our senior leadership team. Youll play a pivotal role in keeping our operations running smoothly, managing complex schedules, high-profile meetings, and key business events across multiple time zones.

Your key responsibilities will include:

Proactively manage and maintain complex calendars for Western Europe Leadership Team membersCoordinate meetings, conferences, and events across internal and external stakeholders — often spanning multiple time zonesArrange detailed international travel plans, including flights, accommodation, visas, and logistics, with flexibility to adapt to last-minute changesPrepare high-quality communications, presentations, and reportsManage expense claims, purchase orders, and invoice tracking via Coupa/SAPSupport departmental administration and act as the first point of contact for general enquiriesCoordinate large-scale events, including conferences, offsites, and executive visitsMaintain accurate internal distribution lists and records in compliance with company policyCollaborate with other administrators to ensure seamless cover and team support across the Western Europe region

What are we looking for?

Relevant experience as an Executive Assistant or Administrator supporting senior leadersProven ability to manage multiple tasks, prioritise effectively, and maintain strong attention to detailConfident communicator, comfortable interacting with senior stakeholders at all levelsStrong budgetary and administrative acumen – experience with Coupa, SAP, or Concur is highly desirableExcellent MS Office skills (Outlook, Word, PowerPoint, Excel)Discretion, professionalism, and a proactive mindset are a mustExperience coordinating large events or complex business meetingsA degree-level education is preferred but not essential
