Responsibilities: Control of contractors to include reactive works, overseeing PPM services and detailing handy man tasks Raising work permits Requesting and checking contractor RAMS Control of site Access control system to include passes for contractors and visitors Sourcing quotes for reactive works Arranging dates for work to take place, checking work areas will be free and clear on those dates Assisting Facilities Manager on project works as required Assisting with Contractor audits Daily site check to ensure all clean, tidy and no visible hazards Rasing site PO, recording on site costs Approve invoices in Esker and record on site costs Maintain invoice budget sheet Keep contractor contacts sheet up to date Order consumables and stock items Facilities work logs assigning and completing Oversee Health & Safety boards and keep up to date Answering co-workers queries in person, via email or IM Managing day to day Access control system Overseeing SHINE DSE system for site Supporting switchboard when required Overseeing Health & Safety walks Supporting site Facilities Manager as required Ensure office Health & Safety standards met Supervise Facilities Administrator as required Learn all site processes and procedures Complete Risk Assessments as required Knowledge, Skills and Experience Strong administrative skills including good knowledge of excel and word Understanding of safety regulations within office environment Well organised Attention to detail Facilities experience Good under pressure Able to prioritise multiple issues IOSH an advantage but happy to provide training Legionella an advantage but happy to provide training This role will be based in our serviced office in Bracknell 5 days per week and may include some trips to our Basingstoke office as and when required.
