Working as part of a highly skilled & collaborative team, each of our WX Assistants should deliver an exceptional service whilst using innovation to proactively multi-task in a fast paced, evolving, and exciting environment. We’re hiring a Workplace Experience Assistant to work on a hybrid basis from our London office in NW1 Role Summary We are looking for someone special to become a vital part of our Workplace Experience (Facilities) team supporting and enhancing our employee and client experience in our UK Head Office. Our WX Assistants play an integral role ensuring our office and services are fit for purpose, compliant, sustainable, and cost-effective. They must be energetic, demonstrate a willingness to help, and have a positive can-do attitude. Due to the nature of the tasks, there is a high-level of manual handling and heavy lifting required. Key Responsibilities Working as a key part of a highly skilled WX team, supporting the business to ensure a smooth and efficient service delivery experience. This will include, but is not limited to, the operation of our mailroom services. Deliver high quality mailroom services by meeting all appropriate SLA and deliver a consistent service which exceeds customer expectations. This includes but is not limited to: Contribute to the overall performance of the WX department and its ongoing continuous improvement. Continuously support the safe environment for employees and visitors to our building by having regard for all Health and Safety legislation, plus company policy and procedures. Undertake new starter Health and Safety inductions along with Display Screen Equipment and New Expectant Mother assessments. Carry out routine H&S checks throughout our office including weekly floor walks reporting on slips, trips and hazards or any other H&S issues. Ensuring our Workplace procedures, policies and systems are implemented and reviewed to ensure our office and services meet business objectives. This will include supporting agile working practices e.g. assisting with the implementation and management of the various locker systems. Remaining vigilant for security matters and supporting security policies through clear desk policy implementation, laptop security, spare key management. Procure goods and services in line with budget, to include stationery and office supplies, security consumables, keys, and off-site archiving (non-exhaustive list). To support our Front of House team with meeting room set ups by continuous and proactive engagement. Maintenance and delivery of our poster communications throughout our building. To provide multi skilled cover and support for the Workplace Helpdesk, ensuring delivery against internal SLA. Supporting the business by assisting with the preparation and implementation of internal or external events (pitches, meetings, events) ensuring rooms and facilities are presentable and in good working order to meet client requirements. Continually strive to find ways to reduce incoming mail and supporting our ISO:14001 & ISO:27001 accreditations. Sorting, scanning and delivery of post, parcels, and general deliveries to our building and externally. Collecting and processing all outgoing post. Management of couriers. Representing the business as a First Aider and/or a Fire Marshal (training can be provided). Qualifications & Skills Manual handling skills/training – Desirable. First Aider/Fire Marshal – Desirable. Experience working as part of a wider Workplace team and leading the mailroom environment – Desirable. Solid administrative skills with close attention to detail. Strong customer service skills. IT skills and a good understanding of Outlook and MS Office. Professionally presented and well mannered. Attentive to client/customer service needs. Must be a self-starter and use initiative. Ability to communicate clearly and effectively. Enthusiasm for working with people and a flexible approach to work is essential. What we offer This is a permanent role to work from our office in London, NW1.
