Operations Assistant - School of Radiology (Grow Your Own) (LHS

The School of Life and Health Sciences at Birmingham City University (BCU) is seeking an Operations Assistant on a fixed term contract, to join the newly formed School to offer operational and administrative support to the West Midlands School of Radiology (WMSOR), their stakeholders and academic colleagues within the school. We are looking for individuals with excellent communication skills, flexibility, the ability to manage a fast-paced workload, and strong organisational ability.

WMSOR is a key partner to the School of Life and Health Sciences, and it supports the training and development of doctors specialising in radiology across the region. Working with Birmingham City University, WMSOR helps coordinate a programme of teaching and training activities such as workshops, lectures, simulation sessions and image-review events, including X-ray interpretation sessions (e.g., musculoskeletal, chest and abdominal imaging). The postholder will support the smooth administration and coordination of activity delivered in partnership with WMSOR.

The Operations Assistant is a pivotal role requiring exceptional communication skills, flexibility, the ability to manage a fast-paced workload, and strong organisational skills. Reporting to the Director of School Operations but working closely with the Head of School of Radiology, you will be responsible for providing comprehensive administrative support to the School of Radiology and colleagues within the school. You will contribute to the efficient day-to-day running of school operations. You are required to liaise with academic staff, professional services, and external stakeholders to facilitate a smooth, efficient and professional administrative service. The role involves liaison with academic staff, professional services teams, and external stakeholders, requiring strong communication skills and a commitment to providing high-quality support within a busy academic environment.

This vacancy is only open to Birmingham City University graduates from the academic year 2024/25. To be eligible, you must have completed your course between 1 August 2024 and 31 July 2025, and you must no longer be studying.

Key responsibilities 

You will provide general administrative support, ensuring timely and accurate completion of operational tasks. You will support the organisation and servicing of school-level meetings and committees, including minute-taking. You will assist with the engagement of casual workers and visiting lecturers — processing paperwork, conducting right-to-work checks, and liaising with HR. You will maintain accurate records of right-to-work documentation in accordance with legal and university requirements. You will handle post and parcel management, including distribution and logging. You will maintain accurate operational records and databases related to school operations — handling confidential information securely and in compliance with data-protection requirements.

About You

You should have experience working in an administrative role in a busy and varied office environment. You should be skilled in organising meetings, taking minutes, and managing calendars or shared schedules. You should be able to manage multiple competing priorities and meet deadlines. Proficiency in Microsoft Office applications — especially Outlook, Word, and Excel — is essential. You should have experience handling sensitive or confidential information. You should be able to communicate clearly and professionally with a range of stakeholders.

The appointed candidate will normally be employed through our subsidiary company BCU Support Services Limited, a wholly owned subsidiary of Birmingham City University. Appointees with prior LGPS membership who wish to enter the LGPS scheme will be able to do so and will be employed by Birmingham City University directly.
